Project Management Tip of the Week

Hello, Jasmine here from LVL Up Consulting with this week's project management tip of the week. And this week I'd like to share my tips on how to run an effective project meeting. And frankly, you could scrap the word project and just say, Meeting, this is what I found to be really effective. So first and foremost, have an agenda in your meeting invitation.

I cannot tell you how many times I see meeting invitations go out that are just blank. Or they just say, let's get together. You need to have an agenda. Even if you just have one point to talk about, put it in there so that people can prepare. And then you have a really targeted, focused meeting. The other tip is that a lot of people like to trial with their meeting times.

So instead of doing a 30 minute meeting put in 15 minutes, instead of a 60 minute meeting, putting in 45 minutes so that you are more targeted and to the point. Another hot tip is to make sure everybody who needs to be in the meeting is invited and can come to the meeting. This is really important.

We've all been there, to be in a meeting and the decision makers aren't there and it's a waste of time. You may as well be doing other project work. So make sure you know who needs to be there, if they are available, and if they're not, either reschedule the meeting or talk to them beforehand so that you can come prepared with their contribution to the meeting.

And then lastly, make sure you take notes and you distribute those to everyone. Doesn't have to be war & peace, it does not have to be formal minutes. But as long as the key dot points are listed and everyone has got those distributed to them, preferably by email or whatever collaboration tool you use that will make sure that everyone knows what they need to do and what direction the project is heading in.
